What you need
- An iPhone with iOS 26.4 or later.
- Wi-Fi for the first download of the speech models (about 641 MB), and at least 1 GB free to record. An hour of recording takes about 230 MB.
- For summaries and saving to OneDrive: your Carnegie Microsoft 365 account, in the Meeting Scribe Users group. Ask IT to add you. Recording and transcribing work without signing in.
- For Privacy mode summaries, written on your iPhone: Apple Intelligence, on an iPhone 15 Pro or later, turned on in Settings > Apple Intelligence & Siri.
Getting started
- Open Meeting Scribe on Wi-Fi and tap Download models. This happens once.
- Tap the gear to open Settings, and sign in with your Carnegie account.
- Tap Record. You can lock your iPhone and the recording continues. Tap Pause for a break, and Stop when the meeting ends.
- After Stop, the app transcribes the meeting, identifies who spoke, and writes the summary. This continues if you lock your iPhone or leave the app, with progress on the Lock Screen.
- Open the meeting to name its speakers. The app recognizes their voices in later meetings.
Common questions
- What should I tell people before I record?
- Tell everyone in the meeting that you are recording, and that the app can recognize their voices on your iPhone.
- The summary hasn't appeared.
- Open the app. If iOS paused the work, it continues when the app opens. If the meeting asks you to sign in, sign in under Settings. If it asks you to turn on Summaries with Claude, turn it on in Settings, or use Privacy mode for your next meetings. If the summary failed, tap Retry on the meeting.
- Where are my meetings saved?
- On your iPhone. While you are signed in, each meeting's summary and transcript are also saved to your OneDrive, under Apps > Meeting Scribe, or to the SharePoint folder you chose for it. Audio stays on your iPhone.
- What does Privacy mode do?
- The summary is written on your iPhone by Apple's model, and the meeting's text is never sent to Claude. It isn't saved to OneDrive or SharePoint either, unless you turn that on in Settings, and its summary is emailed only if you send it. Turn Privacy mode on for a meeting before or while recording, or make it the default in Settings.
- How do I email a summary to the people in the meeting?
- Name every speaker on the meeting's screen, then tap More > Email summary. Check who it goes to (the speakers who are Carnegie staff) and tap Send. It goes from your mailbox, and your copy is in Sent Items.
- How do I delete things?
- Swipe left on a meeting to delete it. Delete voices in Settings > Voices. Copies saved to OneDrive or SharePoint are deleted there. See the privacy policy for what is kept and for how long.
- I got a new iPhone.
- Meetings and voices are not included in iPhone backups, so they don't move to a new iPhone. Summaries and transcripts saved to OneDrive or SharePoint are still there.
